Boost Productivity in the Workplace with Outlook Functions

Quick Parts: Reduce Repeated Typing

If you are required to type long passages of text, you can make use of Quick Part. The tool can help you to easily insert your text into your emails. You simply need to highlight the text in your email composer window. Next, use the Insert tab and then click the Quick Parts dropdown. Further, select the dropdown option ‘Save selection to Quick Parts gallery.’ Thus, when you start typing in your emails, you can see it as a popup suggestion. 

 

Compose A Message Which Can Be Delivered At A Future Time

If you have a message that you do not want to deliver immediately, you can make use of Outlook for the same. Just compose your email message and then make a switch to the Options tabs and then click on the option of ‘Delay Delivery.’ This will open a requester having an option of ‘Do not deliver before:” Simply insert the date and time when you want to deliver the email and then click ‘Close.’ 

 

Create Your Folder For Your Common Searches

The option of the ‘Search folder’ can assist you in simplifying your search of the folders you want. Simply go to the ‘Folder tab’ and then click on the option ‘New Search Folder.’ This will help you create a folder option. Further, you can choose from diverse templates or even set you your own criteria. You can use the option of ‘Create a custom Search Folder” option. You can see your folder option on the left-hand side of the Outlook window. Right click on the new folder and then rename it as per your requisites.

 

Sorting Of Mails Becomes Easy

The Outlook function also assists you in sorting your mails as per conditional formatting set by you. You can use the ‘Rules’ dropdown option in the ‘Move’ section of the said ‘Home tab.’ This can assist you in creating and managing rules for the processing of messages as they come in. You need to select the option of ‘Create Rule’ and you will get access to criteria to choose the sender, recipient, date, size, as well as more. Also, you get an option to choose the rules for matching email messages. There is also an option of Conditional Formatting. This option can be found under the ‘View Settings’ found on the View tab. This step will help you display the emails which match the criteria specified in said font and color.
